Event Project Manager – Europe

As part of the European expansion, we are planning to recruit a Junior Event Project Manager to support the growing number of congresses and events.

This role aims to centralize event coordination, ensure smooth execution, and support the overall quality and consistency of our presence at international congresses.

Key Responsibilities

1. Event Planning & Coordination

• Manage the annual European congress calendar in coordination with Marketing and Sales teams
• Ensure alignment on priorities, timelines, and deliverables
• Monitor and ensure respect of allocated budgets

2. Pre-Event Preparation

• Handle contractual reservations with congress organizers
• Act as a point of contact with event organizers and booth builders
• Coordinate with the communication team on booth design and visual assets

3. Logistics & Operations

• Manage all event logistics, including:
• Badge registrations
• Hotel bookings and travel coordination
• Oversee orders of marketing materials (brochures, collateral, etc.)
• Support shipment and installation of the system in coordination with technical teams

4. On-site Event Management

• Act as the on-site coordinator (“conductor”) during events
• Ensure quality control of booth setup (panels, equipment, overall presentation)
• Serve as the main point of contact for all external providers
• Coordinate internal teams on-site (sales, clinical, marketing)

5. Post-Event Follow-up

• Support the collection and analysis of event metrics
• Provide feedback and recommendations to improve future events
• Contribute to continuous improvement of processes and organization

Requirements:

• First experience (or internship) in event project management, preferably in an international or B2B environment
• Strong organizational and coordination skills
• Ability to manage multiple stakeholders and deadlines
• Detail-oriented with a strong focus on execution quality
• Fluent in English (additional European languages are a plus)
