Billing Specialist

With general direction, this role performs a variety of routine and non‑routine complex billing functions to ensure the proper preparation of accurate and timely bills to customers based on service contract terms and is responsible for related activities. The role typically entails responsibility for customer accounts with complex billing arrangements due to contractual or statutory requirements.

Responsibilities

  • Prepare monthly billing adjustments following standard operating procedures, obtain required approvals, and enter adjustments into the billing system.
  • Research and resolve routine and non‑routine billing questions and discrepancies, and determine appropriate adjustment codes.
  • Review invoices for completeness and accuracy; follow up with customers or division staff/management to resolve discrepancies.
  • Calculate and prepare manual billings for non‑routine, complex billing arrangements.
  • Gather and summarize supplemental billing information to accommodate customer billing requirements.
  • Review billing system reports to identify discrepancies and make corrections to ensure accurate billing.
  • Post case receipts to customer accounts based on lock box reports and local cash receipt listings, and resolve unidentified/misapplied payments.
  • Post payments into the billing system to clear open obligations or prepare remittance advices.
  • Accept credit‑card payments from customers over the phone and process recurring payments.
  • Complete customer set up in company billing system(s).
  • Act as a resource for less experienced personnel, providing training and support.
  • Perform other job‑related duties as assigned.

Qualifications

  • Directly related experience in a billing function within a service‑based industry.
  • Thorough knowledge and understanding of billing transactions and processes.
  • Intermediate-level MS Excel skills.
  • Demonstrated ability to follow standard operating procedures and instructions to complete tasks timely and accurately.
  • Strong interpersonal and communication skills to interact with division managers and customers professionally.
  • Initiative to research and follow up on non‑standard situations ensuring compliance with company policies.
  • Good math aptitude and accuracy in working with numbers.

Minimum Qualifications

• High school diploma or G.E.D.• 18 months of related billing experience.

Pay Range

The pay range for this position is $23.40 to $32.17 per hour, which reflects the minimum wage in multiple jurisdictions. The actual range will depend on the locality in which you are hired.
