Overview

Within the Naboo Agency team, you will take ownership of our most ambitious projects. Your core mission is to design and orchestrate immersive, large-scale seminars (300+ attendees), ensuring a flawless experience from the initial brief to final checkout. You will coordinate all stakeholders to create unforgettable moments.

Responsibilities

• Large-Scale Project Management: autonomously manage complex offsites and events for groups of 300+ people, coordinating logistics, accommodation, transport, F&B, and activities with precision.
• 360° Coordination: act as the central pivot between the client, internal teams, and service providers to ensure everyone is aligned.
• Creative & Strategic Partner: challenge clients with creative concepts, immersive themes, and innovative formats that strengthen company culture.
• Client Relationship: build deep, trusted relationships with key accounts as their advisor and problem-solver.
• Operational Excellence: ensure rapid and accurate responses to client requests; negotiate with vendors to protect margins without compromising quality; maintain rigorous attention to detail.
• Team Leadership: onboard and mentor junior team members, sharing expertise to improve internal processes and tools.

Qualifications

• Language: English and fluent in French (non-negotiable).
• Experience: experience in an agency organizing large-scale events (300 to 1000+ pax) with a track record of successful complex operations.
• Skills: Ultra-Organized; loves spreadsheets, retro-planning, and processes; able to manage multiple high-stakes projects simultaneously.
• Creative: ability to propose fresh ideas and attention to detail that makes a difference.
• Resilient: stays calm under pressure and handles last-minute changes effectively.
• Personality: enjoys client interaction and works well in a collaborative team.
