The Opportunity
- The Project Site Coordinator assists the Site Manager and the site team in all administrative tasks, supporting a structured and well‑organized site office, implementing all approved business and project processes, and enabling site resources to focus on their core competencies.
- The Project Site Coordinator maintains a comprehensive overview of all processes and assets within the office and on site, identifying waste or non–value‑added activities and supporting the optimization of operations within their scope of responsibility.
- The Project Site Coordinator reports hierarchically to the Site Manager during assignment to a specific construction site, and functionally to the Head of C&C Site Support.
- The role of Project Site Coordinator may be combined with the Site Document Controller position and/or the Site Logistic Coordinator position depending on the workload and needs of the project.
How You’ll Make an Impact
- Collect, organize, and administrate progress reports.
- Support the creation of progress, site, project, and management presentations.
- Attend meetings; take and distribute minutes, and track the progress of assigned action items.
- Perform or coordinate site onboarding and provide guidance to new employees arriving to work on the construction site.
- Track site personnel timesheets and working hours; maintain historical records using tables and charts and share with the relevant business departments.
- Maintain an up‑to‑date record of Hitachi personnel present on site.
- Support the site team with various reporting needs as required.
- Implement business processes and collaborate with team members in the continuous improvement of processes and procedures to maximize efficiency and effectiveness.
- Identify and eliminate waste or non–value‑added activities within the area of responsibility.
- Maintain records, databases, filing systems, and archives in both electronic and hard‑copy formats.
- Perform general administrative duties and provide backup support for colleagues in case of sickness, absence, or workload peaks.
- Coordinate or arrange document translation when needed.
- Maintain an updated record of delivery status.
- Send and receive packages and parcels.
- Manage living quarters.
- Manage site vehicles and local transportation.
- Manage site offices and facilities.
- Introduce personnel to administrative processes and site routines.
- Maintain regular, authorized contact with local suppliers and contractors, including housekeeping and security services.
- Control office supplies and ensure availability of visitors’ Personal Protective Equipment (PPE).
- Coordinate travel arrangements for site personnel and visitors in collaboration with home‑office Business Mobility Coordinators, Travel Coordinators, and Project Construction and Commissioning Managers.
Your background
Education; Bac +2 / Bac +3 (equivalent to Associate’s or Bachelor’s level) in Administration, Office Management, Logistics, Project Management, QHSE Support, or Operational Support.
Experience: 2 to 5 years of experience in one or more of the following areas:
- Project coordination / project support
- Site office management
- Logistics and document control
- Support to construction / commissioning / engineering teams
- Experience in construction, energy, EPC, or industrial environment is a strong advantage.
Languages: French and English: Good working level required (interactions with international teams, suppliers, visitors).
