The Alumni Relations Officer leads the creation and execution of digital engagement programs, including webinars and virtual events across social media platforms. They manage and promote offerings on the Active Learning Classroom webinar platform and coordinate social media strategies for the Alumni Association, ensuring alignment with various university entities. Additionally, they oversee recruitment and management of social media ambassadors, provide communications and digital marketing support for engagement activities, and maintain the alumni.wayne.edu website with curated content.

Key Responsibilities

  • Reporting to the Director of Advancement, the Alumni Relations Officer is a member of the College of Medicine Advancement team.
  • Act as staff liaison to the volunteer College of Medicine Alumni Association Board of Directors and maintain link to the central team of Alumni Relations.
  • Demonstrate a passion for students, alumni, research, discovery, postsecondary education and their respective impacts on the world.
  • Enhance the profile and reputation of the College of Medicine with alumni, donors, stakeholders, the university, and the public.
  • Work autonomously, meet deadlines, and juggle competing priorities in a fast‑paced environment.
  • Program areas include student engagement, young alumni, regional engagement, volunteer engagement, reunions and milestones, mentorship, and alumni recognition.
  • Plan, implement, and promote Advancement engagement and alumni relations in‑person and online events.
  • Work with Advancement colleagues to support alumni volunteer affinity group committees (e.g., Suffolk University Black Alumni Network, Women in Leadership Alumnae Network, Suffolk PRIDE Alumni Network).
  • Develop print and digital communications, including drafting alumni event invitations and updating alumni and annual giving webpages.
  • Provide excellent customer service to faculty, staff, alumni, donors, prospects, students and other constituents via phone, email, and in‑person.
  • Support collaborative efforts with the Office of Advancement and campus partners to advance philanthropic support.
  • Track alumni activities and volunteer participation through accurate data entry/coding in the Advancement database.
  • Ensure data integrity of alumni database records.
  • Manage expenses and coordinate travel arrangements for the Advancement Engagement team.
  • Manage special projects (events, new initiatives, benchmarking, etc.) and assume additional responsibilities in support of Advancement efforts.
  • Assist in developing and implementing engagement programs for the AUB Office of Alumni Relations and North American alumni chapters.
  • Coordinate and execute social media strategies for all AUB Alumni channels and ensure coordination with relevant university channels.
  • Provide communications and digital marketing support for engagement and development activities, including broad‑based alumni events, alumni chapter events, university events and campaigns.
  • Maintain records of Office of Alumni Relations activities and update institutional databases.
  • Create content and maintain the AUB Alumni website.
  • Plan, coordinate, and attend events, meetings, or other activities as requested by the Office of Alumni Relations.
  • Create and execute a comprehensive outreach and communications plan with inclusive marketing materials.
  • Implement and manage an alumni database to assist with engaging, cultivating, and soliciting alumni.
  • Measure effectiveness of efforts through research, surveys, and focus groups.
  • Establish clear channels for two‑way communication with alumni.
  • Meet outcomes that deepen alumni engagement and support the college’s advancement goals.
  • Plan, coordinate, execute, and evaluate Alumni Association events that support engagement goals and objectives.
  • Recruit volunteers, renew Memoranda of Understanding with boards, and support volunteer association activities.
  • Plan and execute an annual alumni reunion, conference, and related events.
  • Coordinate and execute at least two alumni newsletters each year to highlight alumni and student success.
  • Develop and oversee production of an annual alumni magazine.
  • Liaise with student and resident groups to engage future alumni and supporters.
  • Develop and manage budgets in alignment with College of Medicine strategies.
  • Assume leadership roles in upgrading alumni engagement practices through data analysis and benchmarking.
  • Assist in the development of policies and practices related to alumni relations.
