The Position
Liberty Mutual Investments has two exciting opportunities for a highly qualified Senior Executive Assistant to join the Administrative Services team supporting the senior leaders of the Global Private Investment and Strategy & Asset Allocation groups. The GPI role is part of a two‑person team supporting a group of investment professionals, and the SAA role would be a one‑person team.
This position will work in office Tuesday, Wednesday and Thursday every week.
Provides administrative support for executives while exercising confidentiality, tact, and diplomacy. Manages executive calendars, prepares materials for meetings, triages communications, coordinates and optimizes executive travel plans, and helps to keep executives focused and on schedule. The essence of the role is to enable the executives supported to be more productive with their time and to work as efficiently and effectively as possible. This level makes decisions with minimal direction; recommendations are typically accepted by executives, and the assistant is able to quickly adapt to changing priorities. In addition, there is a high degree of usage for executive‑assistant specific support.
Responsibilities
- Heavy management of complex calendars and act as a gatekeeper to prioritize meetings and manage scheduling conflicts.
- Assist the executive with preparing for meetings by gathering, distributing, and highlighting materials; coordinate virtual attendees and any required media needs.
- Coordinate and/or assist with team meetings (staff meetings, all‑hands meetings, quarterly on‑sites/off‑sites, team gatherings, etc.) and may help with event planning.
- Optimize travel arrangements, manage complex itineraries, handle changes, and process related expenses.
- Greets and assists planned guests and manages unannounced visitors.
- Prepare, update, and organize information for huddle boards, reports, correspondence, presentations, budgets, etc.; edit documents for accuracy and formatting; conduct research on behalf of the executive.
- Sort, screen, and distribute incoming and outgoing mail; highlight particular information of interest.
- Assist in keeping the executive highly organized, including online retrieval and archiving of documents and support of the company’s records and retention schedule.
Qualifications
- Solid knowledge of administrative procedures, software applications (Microsoft Office Word, Excel, PowerPoint, Teams, Adobe Acrobat, etc.), records management systems, and other business procedures and terminology.
- Excellent organizational skills, time management skills, and attention to detail, including anticipating needs, being resourceful and proactive.
- Displays a high degree of professionalism to maintain confidential information with discretion, deal with people tactfully, and help establish strong relationships and positive communication.
- Strong ability to read complex settings and respond to challenging people and/or circumstances with diplomacy and tact.
- Associate’s degree (or equivalent) and 6 to 8 years of relevant and progressively more responsible administrative experience, including prior experience providing support at the management level.
- Investments experience or background preferred.
Pay Philosophy
The typical starting salary range for this role is determined by a number of factors including skills, experience, education, certifications and location. The full salary range for this role reflects the competitive labor market value for all employees in these positions across the market and provides an opportunity to progress as employees grow and develop within the role. Some roles at Liberty Mutual have a corresponding compensation plan which may include commission and/or bonus earnings at rates that vary based on multiple factors set forth in the compensation plan for the role.
