General Description

This position is responsible for clerical functions in the Community Risk Reduction Division. It provides support to department staff and other city staff.

Essential Duties And Responsibilities

  • Issuance of various types of permits.
  • Scheduling inspections.
  • Filing.
  • Run reports.
  • Answering phones.
  • Assist customers with permits/questions.
  • Monthly forms for McGraw Hill and US Census.
  • Input inspection results.
  • Type letters or memos.
  • Email electric service inspections to Carroll Electric.
  • Other duties as required or assigned.
  • Perform any other related duties as required or assigned.

Qualifications

Education And Experience

High school or GED, plus specialized schooling and/or on the job education in a specific skill area; e.g., data processing, clerical/administrative, equipment operation, etc., plus 12 to 18 months related experience and/or training, or equivalent combination of education and experience.

Communication Skills

Ability to read a limited number of words and recognize similarities and differences between words and between series of numbers; ability to write and speak simple sentences as a means for basic communication, ability to read and understand simple instructions, short correspondence, notes, letters and memos; ability to write simple correspondence, ability to read and understand documents such as policy manuals, safety rules, operating and maintenance instructions, and procedure manuals; ability to write routine reports and correspondence; ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to prepare and interpret bar graphs.

Critical Thinking Skills

Ability to utilize common sense understanding in order to carry out written, oral or diagrammed instructions. Ability to deal with problems involving several known variables in situations of a routine nature.

Required Certificates, Licenses, Registrations

Obtain a Permit Technician Certification from the International Code Council with twelve months of hire.

EMPLOYEE CONTACT

Also, important contacts with associates as required in advanced supervisory jobs.

USE OF MACHINES, EQUIPMENT AND/OR COMPUTERS

Regular use of highly complex machines and equipment; specialized or advanced software programs.

WORKING CONDITIONS

Normal working conditions as found within an office setting, wherein there is controlled temperature and a low noise level, plus a minimum of distractions.

ENVIRONMENTAL CONDITIONS

The noise level in the work environment is usually moderate. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

PHYSICAL ACTIVITIES

Semi-repetitive, low physical. Semi-repetitive type work which requires periods of concentration for varied time cycles as prescribed by the tasks. While performing the functions of this job, the employee is regularly required to stand, sit, use hands to finger, handle, or feel, reach with hands and arms, talk or hear; frequently required to walk; and occasionally required to stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision; distance vision; color vision; peripheral vision; depth perception; and ability to adjust focus.

Additional Information

Good knowledge of and effective use of computers, phones, other related office equipment, customer service experience, ability to multi-task and good organizational skills.
