Profile

The Office Manager & Executive Director is responsible for the overall operational management of Purple Magazine, ensuring the smooth coordination of editorial, fashion production, advertising, brand collaborations, financial, and event activities of Purple. Reporting directly to the Editor-in-Chief and Publisher, this role acts as the operational backbone of the magazine, translating editorial vision into efficient day-to-day execution while maintaining the highest professional standards.

The ideal candidate combines strong organizational abilities with an understanding of the international fashion industry, editorial publishing, luxury brand partnerships, creative production, and digital operations. They are capable of managing multiple departments simultaneously, supervising budgets, coordinating complex productions, and supporting the long-term growth of Purple.

Basic Requirements

  • Minimum 7 years of professional experience within the fashion, luxury, magazine, or creative industries.
  • Experience in fashion PR, luxury marketing, communication, fashion production, publishing, or digital project management, specifically in the fashion world.
  • Proven experience working directly with fashion and luxury clients.
  • Strong budgeting, financial planning, and cost-control skills.
  • Good understanding of accounting processes, invoicing, contracts, and financial reporting.
  • Excellent organizational, operational, and project management abilities.
  • Experience coordinating large-scale creative productions and editorial workflows.
  • Outstanding communication and interpersonal skills.
  • Ability to prioritize multiple projects under tight deadlines.
  • Fluency in both French and English (written and spoken).
  • Highly organized, autonomous, discreet, proactive, and detail-oriented.
  • Based in Paris.
  • Full-time position at the Purple office (no remote work).

1. Purple Office Management

The Executive Director oversees the daily functioning of Purple’s Paris office and ensures that all editorial, administrative, legal, and operational activities are coordinated efficiently.

Team Management

  • Supervise the daily organization of the editorial office.
  • Coordinate editors, interns, freelancers, contributors, and external collaborators.
  • Recruit, onboard, train, and supervise interns.
  • Monitor team schedules, deadlines, and workload distribution.
  • Maintain a positive, collaborative, and professional working environment.

Fashion Week Coordination

  • Organize the Fashion Week calendar for the magazine team.
  • Coordinate invitations, appointments, accreditation requests, travel logistics, and scheduling.
  • Manage relationships with PR agencies and fashion houses throughout the international Fashion Week seasons.

Office Administration

  • Oversee all office services, including internet, telephone, cleaning, maintenance, storage, equipment, and suppliers.
  • Ensure the office remains fully stocked with stationery, kitchen supplies, coffee, food, and operational materials.
  • Manage office archives and administrative documentation.
  • Supervise the office digital server in coordination with the external IT provider.
  • Manage digital magazine subscriptions, software licenses, and operational platforms.

Administration, Legal & Finance

Working closely with the accounting department:

  • Follow invoices, payments, taxes, contracts, and administrative obligations.
  • Coordinate legal documentation relating to employees, freelancers, interns, and commercial partners.
  • Ensure compliance with employment and administrative procedures.
  • Assist with copyright protection and legal matters relating to the Purple brand and its intellectual property.
  • Process incoming administrative correspondence, contracts, invoices, and official communications.

2. Magazine Production

The Executive Director supervises the operational production of Purple Magazine from fashion production, editorial planning through printing, digital publication, and international distribution.

Fashion Production

  • Supervise the production of all editorial fashion stories.
  • Coordinate locations, studios, transportation, casting logistics, production schedules, permits, accommodations, and technical requirements.
  • Help secure studios, creative teams, production partners, and locations.
  • Monitor production budgets and control costs for every editorial project.
  • Anticipate production issues and provide operational solutions.
  • Ensure all productions are completed on schedule and within budget.
  • Book travel tickets and cars for the team.

Magazine Printing

  • Coordinate the complete printing schedule with printers and production partners.
  • Monitor printing budgets and manufacturing costs.
  • Ensure technical specifications and production deadlines are respected.
  • Resolve production or printing issues when necessary.
  • Supervise quality control before final printing.

Digital & Social Media Content Production

  • Coordinate editorial content production for the website and social media platforms.
  • Supervise the production of branded digital content and commercial partnerships.
  • Train interns and junior team members on Purple’s editorial and digital production workflows.
  • Coordinate delivery of digital assets to partners and clients.

Distribution

  • Coordinate international magazine distribution with distributors worldwide.
  • Determine print quantities by territory and distributor.
  • Organize international shipping and logistics.
  • Supervise distributor invoicing and payment follow-up.
  • Maintain relationships with international distribution partners and identify opportunities for market development.

Purple Events

  • Assist in the conception, organization, and production of Purple’s cultural and commercial events, including dinners, parties, exhibitions, talks, launches, and festivals.
  • Coordinate venues, suppliers, production companies, caterers, and technical teams.
  • Prepare and supervise budgets for each event.
  • Manage guest lists, invitations, RSVPs, and VIP relations.
  • Negotiate with sponsors, luxury brands, and event partners.
  • Ensure the smooth operational execution of every event from planning through completion.
  • Follow post-event budgeting, invoicing, reporting, and partner follow-up.

3. Purple Advertising Development & Brand Collaboration

The Executive Director contributes to the commercial development of Purple by supporting advertising sales, brand partnerships, and collaborations, and the production of cultural events.

Advertising Development of the Magazine (Print)

  • Develop and maintain relationships with existing advertisers, luxury brands, agencies, and cultural institutions.
  • Identify new advertising opportunities, brand collaboration opportunities, partnerships, and special projects.
  • Participate in advertising meetings and client meetings.
  • Prepare commercial proposals, budgets, sponsorship packages, and branded content presentations.
  • Monitor project profitability and production costs.
  • Coordinate client contracts, invoicing, and payment follow-up.
  • Contribute to the long-term commercial growth of Purple Magazine.

Digital Brand Collaboration & Digital Special Projects

  • Coordinate branded editorial online productions and commercial collaborations.
  • Identify, negotiate, and develop digital opportunities with brands for Purple’s social media.
  • Supervise the production of branded digital content and commercial partnerships online.

Purple Events Development

  • Identify partnership opportunities and contribute to the conception of Purple’s cultural events, including dinners, parties, exhibitions, talks, launches, and festivals.
  • Prepare and supervise budgets for each event.
  • Negotiate with sponsors, luxury brands, and event partners.

This role requires exceptional organizational skills, sound financial judgment, and the ability to manage complex creative projects while maintaining operational excellence and editorial integrity that define Purple Magazine.
