To support our Office Management in Cergy, France, we are looking for a temporaryOffice Administrator. The contract will be limited to 12 months.
What’s it all about?
- you are the first contact person in our office and you manage the front desk phone calls, post/courier handling and visitors
- you ensure that our Cergy office team receives the needed support in all areas of office management such as
- ensuring adequate general and office supplies incl. purchasing and payment
- coordination of Health & Safety activities
- organizing training – interface with the OPCA
- ensuring a comfortable, productive and clean working environment, while monitoring office facilities and coordinating cleaning and maintenance
- handle all issues related to IT, Telecom and the car park
- you provide administrative support in sales oriented areas such as
- finance: e.g. taking care of payments to suppliers and monitoring service provided; support in the preparation of expense accounts, handle petty cash and bank activities; support in the preparation of the annual budget
- management of meal vouchers
- travel management for the team and international visitors
- shipping and logistics handling of our demo equipment to and from Cergy
- data base entries
- management of Time Control system and vacation recording
- backup-support for Sales and Marketing activities
- any general tasks that may arise
What are we looking for?
- you have a higher level qualification in a commercially related subject (Business Administration, Marketing, Business & Finance)
- you are confident, proactive and dynamic with a ‘get things done’ attitude
- you are well organized and have excellent time management skills
- you have at least 5 years of experience in an office administration role and you work in a precise way
- you enjoy working in a small team environment and are comfortable to work alone periodically
- you have an excellent command of written and spoken French and English: German language skills are a plus
- you have a knowledge of Microsoft Word, Excel and Outlook
- you are willing to undertake infrequent travel (occasionally overseas)
