Middle Office Specialist
JOB SUMMARY / INTRODUCTION
Perform activities primarily related to Credit Administration (CAD) including credit documentation preparation, limit management, collateral review and reporting while also contributing to other Middle Office (MO) operations covering key workstreams. The Manager (CAD & MO) will prepare and review credit documentation of varying nature and ensure the timely tracking and remediation of deficiencies. Maintain quality standards for credit limits and customer data and safeguard clients' original documents both physically and digitally.
Additionally, the role supports the accurate and controlled processing of Middle Office transactions, ensuring compliance with applicable French and European regulations.
The candidate will coordinate with Hub teams at Head Office for centralized limit encoding activities and will be involved in cross-functional projects and continuous improvement initiatives.

KEY RESPONSIBILITIES
Credit Administration (CAD)
- Draft and review standard and non-standard documentation of facility offer letters, security-related documents, internal and external legal opinions, and other condition precedent documents in line with sanctioned credit approvals.
- Maintain credit facility files with all relevant documents received from coverage teams; scan facility documents (Document Management System and Shared drive) prior to storing them safely for safekeeping in the Fire Vault.
- Record all transactions in the Core Banking System (CBS) accurately and in a timely manner.
- Coordinate with the CAD-International team at Head Office, product specialists, hedging and credit teams as required to complete documentation and release of limits in the bank's system.
- Coordinate with Hub teams at Head Office for limit encoding-related activities that are centralised, ensuring accurate and timely processing of credit limit instructions and alignment with group-level procedures.
- Ensure that relevant authorities approve deferral or waiver of any incomplete documentation and ensure rectification of existing discrepancies or deficiencies.
- Prepare and distribute reports on documentation deficiencies (explained/delayed documents) and follow up on timely submission and renewal.
- Encode document filings and update collateral data in the bank's system; verify that all required security or supporting documents are physically kept in a safe place at time of renewal or settlement.
- Examine and verify authorisations requested for the permanent release of collateral and security documents; ensure no outstanding debts or claims exist and that facilities are cancelled from the system.
- Encode and release credit limits, guaranteeing accurate data entry before recording into the bank's system.
- Receive and record all loans and activities in the tracker; maintain documentation for administrative functions including incoming/outgoing mail, acknowledgements, and correspondence.
- Prepare instructions for account provisioning, customer category changes, suspension of interest, and write-off entries.
- Carry out monthly activities such as reviewing limits in the CBS and preparing/disseminating reports on CAD activities (transaction volumes, guarantees, shortfalls).
- Prepare accurate and timely internal and regulatory reports as required.
- Work on process improvements and document changes in the Standard Operating Procedures (SOP).
- Ensure completion of mandatory training as requested by the bank from time to time.
Global Market Collateral Management
- Perform maker/checker activities for collateral agreement setup, maintenance, and validation within the collateral management platform.
- Process and validate margin calls, collateral movements, interest settlements, and collateral-related transactions.
- Investigate and resolve collateral discrepancies, disputes, and settlement exceptions in coordination with Operations, Risk, Legal, and counterparties.
- Maintain strong operational controls through independent verification, reconciliation, and adherence to maker-checker governance standards.
Middle Office (MO)
- Get cross trained and support on the assigned Middle Office workstream(s), including but not limited to Trade Operations, Loan operations, Global Market Operations; and Loan Portfolio Management to act as a backup for cross-functional activities during holidays and high-volume periods.
- Monitor operational risks within MO activities, implement appropriate controls, and coordinate with internal and external stakeholders to resolve issues.
- Contribute to process optimization and efficiency projects within the Middle Office, supporting the continuous improvement of MO functional systems and practices.
Key Accountabilities in a Hub Operating Model
- Oversee the execution and coordination of CAD Limit encoding/or any other activities delivered through the HO/Hub model, ensuring alignment with FAB France procedures, local regulatory requirements, Group standards, and agreed service expectations.
- The Middle Office component of this role acts as the operational bridge supporting multiple workstreams under the International Middle Office model. The incumbent ensures local execution while collaborating closely with centralised back-office hubs and group functions to enhance control, consistency, and efficiency.
- Monitor Hub performance, case progression, service levels, productivity, volumes, pending items, and escalations, ensuring timely follow-up with the Hub, Business, Credit and other France stakeholders.
- Provide operational oversight, guidance, training inputs, and process clarifications to the Hub, including updates on regulatory expectations, internal policies, procedures, system parameters, and local process requirements.
- Manage and support escalation handling for operational issues, high-risk matters, deferrals, waivers/deviations, and decisions requiring FAB France review or intervention.
- Support the development, review, maintenance, and approval of CAD-related SOPs, procedures, controls, governance documentation, and process improvements to ensure effective service delivery and regulatory compliance.
- Participate in governance forums and working groups with the Hub and internal stakeholders, providing status updates, reviewing risks/issues, monitoring service performance, and supporting corrective actions where required.
- Prepare, review, and coordinate MI, dashboards, trackers, regulatory reports, RCSA, BCP/BIA inputs, etc.
- Participate in monitoring the effectiveness of the CAD and MO function's framework, processes, and policies.
Generic
- Promote and improve the control system and related procedural framework to incorporate internal, regulatory and procedural changes and evolutions, with a particular focus on CAD workflows.
- Participate in the bank's operational transformation by contributing to the continuous improvement of functional systems, processes and practices, considering international standards and changes in the business environment.
- Contribute to the establishment of a sound internal control framework by formally monitoring own work and that of colleagues.
- Be actively involved in regulatory monitoring to ensure that all applicable French and European regulations are complied with and deployed within the framework of risk management policies, procedures, and processes.
- At the Head of Middle Office’s request, coordinate with the audit department and respond to audit requests; identify and monitor remediation and action plans relating to internal control.
- Assist and support the line Head of Middle Office in ad hoc projects as required.
- Resolve conflicts and provide effective solutions to stakeholders; ensure efficient coordination with key stakeholders to deliver results in a timely manner.
REQUIREMENTS / QUALIFICATIONS
- Bachelor's or Management degree, preferably in Banking, Legal or a related discipline, or equivalent professional experience.
- Minimum of 4–6 years of experience in a reputed bank or similar financial institution.
- At least 3 years' technical hands-on experience in credit or legal documentation in a corporate and/or private banking environment.
- Excellent knowledge of LMA documentation, securities and collaterals.
- A deep understanding of the credit process and solid grasp of credit conditions for monitoring fulfilment.
- Strong knowledge of CAD function and legal documentation within a financial institution.
- Solid understanding of assets, lending products, and associated processes.
- Good knowledge of Core Banking System (CBS) and functionalities.
- Familiarity with Middle Office operational frameworks and the International Middle Office model.
- In-depth knowledge of Banking sector, clients' sectors, industries, and market trends.
- Sound Microsoft Office application knowledge.
