Procurement & Budget Management

  • Serves as the primary Administrative and Procurement Assistant for the Diplomatic Technology (DT) office, playing a key role in ensuring the section's operational readiness
  • Manages the full lifecycle of section procurement activities, including preparing and processing purchase requests for DT equipment and services
  • Tracks and monitors budgets across multiple funding sources, ensuring accurate expenditure oversight and fiscal accountability
  • Coordinates directly with external service providers and contractors, administering contracts and resolving procurement issues to keep DT operations running smoothly

Administrative Support

  • Provides comprehensive administrative support to the DT office, contributing directly to a well-organized and efficient work environment
  • Organizes meetings and events, managing logistics from start to finish
  • Arranges travel for DT personnel, ensuring seamless coordination of complex itineraries
  • Assists with onboarding new and visiting personnel, helping team members integrate quickly and successfully into the office

Diplomatic & Executive Engagement

  • Supports the DT Chief in high-visibility host-country and diplomatic engagement activities, offering a unique opportunity to work closely with senior leadership
  • Coordinates events and manages follow-up actions to ensure deliverables are met on time
  • Provides critical, timely support for high-level visits, playing a direct role in the success of the DT office's most important engagements

Education Requirements

Qualifications

Experience :

Job Knowledge

  • Familiarity with customer service principles and communication techniques, including use of Customer Relationship Management (CRM) tools to support tracking of internal and external contacts.
  • Familiarity with general procurement processes and vendor management.

Skills And Abilities

  • Proficiency with Office productivity applications and desktop/client systems to support daily administrative, procurement, and logistical tasks.
  • Demonstrated strong interpersonal, communication, and customer service skills to interact effectively with internal staff, vendors, and other stakeholders.
  • Ability to work independently, manage time efficiently, and prioritize multiple tasks.
  • Ability to work effectively under pressure, managing both planned and unexpected projects and tasks.
  • Strong organizational and planning skills to coordinate schedules, travel, reporting, and general office operations efficiently.
  • Strong written communication skills for preparing SOPs, reports, correspondence, and other documentation.
  • SALARY: the annual gross salary includes : the profit-sharing allowance, the vacation allowance, the bonus allowance and the "Comité d’Entreprise" allowance.
  • MEAL TICKETS: Meal tickets have a face value of EUR 8.25/day. 60% of the daily amount is paid by the U.S. Government. An employee contribution of EUR 3.30 per ticket will be deducted in payroll. The number of meal tickets is limited to 202 workdays per year.
  • TRANSPORTATION: Employees are eligible for a reimbursement of 50% of the cost of public transportation passes purchased for commuting purposes.
  • HOLIDAYS: The U.S. Missions in France observe eleven U.S. holidays per year and up to ten French holidays.

ADDITIONAL EMPLOYMENT CONSIDERATIONS

  • Current employees who used a hiring preference to gain employment who are within their first 90 calendar days of employment are not eligible. This does not apply when the hiring mechanism is TEMP or the work schedule is intermittent or irregular.
  • Candidates with a hiring preference who have already accepted a conditional offer of employment may NOT be extended a second conditional offer of employment unless and until they withdraw their candidacy for the first position in writing.
