About ESVS
The European Society for Vascular Surgery is a growing European medical society with activities across education, events, publications, clinical research, guidelines, registries and membership.
The ESVS Group includes several entities, including UK and France entities. As the organisation grows, we are strengthening our internal finance function and are looking for a Finance Manager to support day-to-day finance operations, financial reporting and management decision‑making.
Purpose of the role
The Finance Manager will be responsible for the day‑to‑day financial administration and financial management of the ESVS Group. This is a hands‑on finance role combining bookkeeping, reconciliations, payment processes, management reporting, budgeting support and financial analysis. The role also includes some data analysis and contract review support. The successful candidate does not need to be a senior finance director at this stage. We are looking for someone with solid bookkeeping and finance management skills, a few years of relevant experience, strong attention to detail and the potential to grow into a more senior finance leadership role over time.
Technical UK accounting and compliance work will remain with the external UK accountant.
Responsibilities
1. Bookkeeping and finance administration
Ensure that ESVS financial records are accurate, complete and up to date.
- Posting bank transactions in the accounting system.
- Reconciling bank accounts across the relevant entities.
- Reviewing and allocating card and expense transactions.
- Managing expenses, including receipts, categories and follow‑up with staff.
- Exporting approved expenses to the accounting system.
- Allocating Stripe, PayPal and other payment receipts correctly.
- Reviewing sales invoices and checking correct allocation and treatment.
- Supporting supplier invoice workflows and payment preparation.
- Making payments.
- Monitoring outstanding payments and working with colleagues on follow‑up where needed.
- Maintaining accurate records of prepayments, accruals and balance sheet items.
- Ensuring financial documentation is stored clearly and consistently.
2. Finance management across the ESVS Group
- Monitoring income and expenditure across activities and entities.
- Supporting the allocation of income and costs to the correct projects, departments and entities.
- Reviewing financial transactions for accuracy and consistency.
- Supporting intercompany accounting and recharges where needed.
- Monitoring cashflow and supporting cash planning.
- Supporting the management of reserves and short‑term cash placement decisions.
- Helping project managers understand their budgets and financial performance.
- Acting as the first internal point of contact for routine finance questions.
3. Budgeting, forecasting and management reporting
- Supporting the annual budget preparation process.
- Preparing budget templates and consolidating inputs from budget holders.
- Updating forecasts during the year.
- Preparing variance analyses against budget.
- Supporting quarterly management accounts.
- Preparing clear financial summaries for internal management meetings.
- Supporting financial reporting to the Treasurer, Executive Team and Executive Committee.
- Highlighting risks, unusual movements and areas requiring management attention.
4. Coordination with external accountants
- UK technical accounting advice.
- VAT returns.
- Statutory accounts.
- Companies House filings.
- Charity Commission filings.
- Audit technical support.
- Specialist accounting treatment and compliance matters.
The Finance Manager will support this work by providing accurate records and supporting documentation, responding to accountant and auditor information requests, maintaining a calendar of finance deadlines, coordinating information between ESVS staff and external advisers, and ensuring that routine internal processes are completed on time.
5. Payroll and payment coordination
- Coordinating payroll information with the relevant payroll providers.
- Supporting payment preparation and approval workflows.
- Ensuring that payroll and supplier payment deadlines are met.
- Maintaining records of payments made.
- Supporting payment checks and controls.
6. Data analysis and dashboards
- Preparing simple dashboards and reports for management.
- Analysing membership, event, Academy, sponsorship and other income data.
- Supporting registration and revenue tracking.
- Producing financial KPIs and trend analysis.
- Helping management understand financial performance by project or activity.
- Improving the quality, structure and usability of financial data.
7. Contract review support
- Reviewing payment terms, invoicing schedules and financial commitments.
- Identifying budget impact and financial risks.
- Checking consistency between contracts, invoices and expected income or expenditure.
- Supporting the CEO and COO with financial input before contract approval.
- Maintaining records of key contract‑related financial obligations.
8. Process improvement and controls
- Documenting finance procedures.
- Improving bookkeeping, reconciliation and reporting workflows.
- Maintaining a finance calendar with monthly, quarterly and annual deadlines.
- Identifying manual processes that could be simplified or automated.
- Strengthening internal controls and approval processes.
- Supporting a smooth handover from the current finance arrangements.
Profile
Essential experience
- A few years of relevant experience in bookkeeping, accounting support, finance administration or finance management.
- Experience with accounting software.
- Experience with bank reconciliations, invoice processing and payment workflows.
- Good understanding of budgeting and financial reporting.
- Strong Excel skills.
- Ability to work accurately with multiple entities, projects or cost centres.
- Professional English.
- Ability to work from the Bordeaux office.
Desirable experience
- Experience in an association, charity, NGO, medical society, event organisation or international organisation.
- Experience with Xero, Pennylane, Pleo, Stripe or PayPal.
- Experience working with external accountants or auditors.
- Experience with French and/or UK accounting environments.
- Experience preparing dashboards or management reports.
- French language skills.

Flexibility
The Finance Manager is expected to demonstrate flexibility and adaptability and may be required to undertake other duties consistent with the nature and level of the position in order to meet the evolving needs of ESVS and its affiliated entities.
Level of the role
This is a lower to mid‑level finance management role, not a senior CFO role at recruitment stage. However, the role is expected to evolve as the organisation grows. The successful candidate will have the opportunity to progressively take on more responsibility and, over time, develop toward a senior finance leadership or CFO‑type role within the ESVS Group.
