About the Opportunity
As a Facilities Contract Manager, you will support the Facilities Operations Managers in ensuring buildings operational standards and KPIs are met.
Key Responsibilities
- Vendor Management – Manage, monitor and report on vendor performance, chair monthly/quarterly/annual meetings with service providers to review SLAs and KPIs, hold vendors accountable for performance gaps, ensure Maintenance & Cleaning performance scorecards are up‑to‑date, verify asset compliance with legislation via CMMS or GDrive, meet legal and statutory requirements for services and goods, manage all contract costs and provide risk/forecast reports, prepare annual service contract budgets, manage lift vendors and statutory inspection schedules, support liquor licence processes, serve as vendor invoicing/payment process expert and raise purchase orders, lead end‑of‑month OPEX reviews and accruals, maintain cost trackers across markets, support under‑performing vendors, handle large/small projects (OPEX savings, warehouses, community cost trackers), deal with platform issues and support purchase orders, manage invoicing, accruals, late payments and escalations, and lead strategic procurement and contract negotiations.
- Cost Management – Provide mid‑month and end‑month reporting of OPEX versus budget, manage cost trackers, and ensure OPEX related costs are captured with accurate accruals.
- Strategic Contract Management – Monitor the pipeline of contract expirations, collaborate with procurement and FCM on new vendor sourcing, oversee RFPs, manage contract reviews and renewals, administer new vendors, manage MSA approvals, produce upcoming year budgets, and coordinate with the Operations Director on strategy and process improvement.
Experience and Requirements
- 5+ years overseeing facilities maintenance or operations for a minimum of 5 locations.
- Fluent in French and English.
- Experience managing a team.
- Ability to work independently or as part of a team.
- 2‑year technical degree or 4‑year college degree preferred; understanding of compliance, safety standards and operational KPIs.
- Working knowledge of commercial MEP systems (HVAC, plumbing, fire and life safety, electrical distribution networks).
- Excellent communication, organization, written and analytical skills.
- Ability to manage complex contracts and multiple stakeholders.
