A varied and evolving support role
This position combines executive support, administrative coordination, business support and office management.
You will provide direct support to the CEO while helping to structure organisational processes, information flow and operational follow-up within an international team.
Working in a growing organisation, you will need to demonstrate accuracy, adaptability, practical judgement and a strong understanding of business priorities.
Key responsibilities
1. Administrative coordination and office support
You will help ensure the smooth day-to-day running of the CEO's activities, the Paris office and communications with the international team.
Your responsibilities will include organising meetings, travel arrangements and appointments; coordinating with the co-working space and external service providers; providing logistical support during visits from international colleagues; and overseeing the practical management of products, inventories, samples, promotional materials, stock and shipments.
Your objective will be to make daily operations simpler, more efficient and more transparent.
2. Administrative and finance support
You will contribute to the coordination of the administrative and financial information required to support the business.
This includes collecting and organising invoices, receipts and expense claims; preparing documentation for the external accounting firm; maintaining existing tracking spreadsheets; following up on missing information; and providing accurate data to the CEO and relevant stakeholders.
Your role will be to ensure effective first-level coordination within a structured and reliable framework.
3. Regulatory Affairs support
You will provide documentary support for regulatory activities related to the company's international development.
This will include assisting with the preparation and monitoring of regulatory files for different countries and distributors, updating document matrices, collecting the necessary documentation from internal teams and external partners, and coordinating with colleagues across Education & Training, Sales and Marketing.
Your objective will be to facilitate the flow of information and ensure that all documentation required to support business development activities is prepared efficiently.

Previous experience in executive support, office management, business support, administrative coordination or an international environment would be an advantage.
An interest in or exposure to healthcare, medical aesthetics, skincare, cosmetics, medical devices, international distribution or innovative products would also be highly valued.
