Purpose of the role
To manage the executive's schedule, handle correspondence, prepare presentations and reports, and provide other administrative support as needed.
Accountabilities
- Manage senior executive members' calendars and oversee timely responses to meeting invitations and requests.
- Plan and arrange travel itineraries—including flights, accommodation, and ground transportation—ensuring timely and efficient travel.
- Proactively anticipate the executive's needs, prioritise tasks, and ensure timely completion.
- Handle day‑to‑day administrative tasks such as expenses, filing systems, office supplies, annual leave records, distribution list, and other organisational tasks.
- Facilitate senior executive members' meetings.

To advise and influence decision making, contribute to policy development, and take responsibility for operational effectiveness. Collaborate closely with other functions and business divisions, lead teams on complex tasks, and coach employees toward objectives.

Key Responsibilities
- Serve as a trusted gatekeeper, managing communications, prioritising requests, and maintaining relationships across a wide network.
- Coordinate complex and changing diaries across multiple time zones to ensure seamless meetings, committees, and governance forums.
- Support Board and executive-level activities, including scheduling and preparing for Board, committee, and governance meetings.
- Own end-to-end travel planning, produce detailed itineraries, manage expenses, and ensure appropriate documentation and briefings are ready.
- Act as the main reference point for the Chair and Company Secretary, liaising with colleagues and staff on ongoing matters.
- Monitor progress and coordinate all actions and paperwork for meetings in line with deadlines.
- Act as a trusted advisor on complex issues, provide guidance to People Leaders, and identify risk mitigation opportunities.
- Develop policies and procedures to support control and governance agendas.
Qualifications
- Proven experience supporting senior executives and Board-level stakeholders (or equivalent), ideally across multiple leaders.
- Expertise in complex diary management, including Board and committee coordination.
- Arranging complex travel itineraries, including visas, flights, hotels, and transfers.
- Experience working with senior stakeholders such as Directors, Chairs, and Company Secretariat.
- Excellent stakeholder management and organisational skills.
- Highly organised, with exceptional prioritisation and the ability to meet tight deadlines.
- Flexible and adaptable to varying workload, including extended hours and urgent projects.
- Experience managing Board papers and governance materials.
- Preparation and amendment of sensitive correspondence, reports, and other material.
- High discretion in handling confidential information.
- French speaker with good working knowledge of English (both verbal and written).

Remuneration
Minimum salary: €56,000 per annum. Additional compensation and benefits are available.
