Team & Scope

The Executive Assistant & Leadership Communications Manager reports directly to the CEO and plays a strategic 50/50 role covering executive support and leadership communications. The position requires smooth coverage of high‑profile stakeholders including investors, board members, strategic clients, and the executive leadership team, with a strong focus on operational excellence and strategic communication.

Executive Support (50%)

  • Calendar Management & Prioritization – Own an extremely dense calendar, allocate time effectively, arbitrate competing requests, and protect executive time by pushing back on non‑essential meetings.
  • Preparation, Briefing & Follow‑up – Translate ad‑hoc requests into calendar blocks, reminders, and concrete next actions; conduct post‑meeting follow-ups and briefing material preparation.
  • Travel & International Coordination – Organize travel across Europe and coordinate with international teams.
  • Internal & External Interface – Serve as the natural point of contact for CEO‑related topics, interact with investors, board members, partners and high‑stakes clients, and represent the CEO with discretion and professionalism.
  • Knowledge Management & Systems – Own Notion spaces for the CEO, ELT, and next‑generation leaders, keeping them up‑to‑date, well‑organized, and easily navigable.

Leadership Communications (50%)

  • Executive Leadership Team Communications – Prepare and coordinate key ELT meetings (agendas, pre‑reads, follow‑up documentation) and document strategic decisions and action items.
  • Company‑wide Communications – Support the CEO with main communications such as weekly newsletters, external thought leadership pieces, and content for company‑wide events. Translate executive strategy into engaging communications for all employees and collaborate with the People team on events that make strategy tangible.
  • Strategic Event Design & Execution – Oversee end‑to‑end organization of ELT offsites, next‑generation leaders offsites, and development programs, fostering strategic alignment and cultural reinforcement.
  • Strategic Storytelling & Narrative – Capture the “why” behind decisions, identify key themes, and ensure consistent, clear communication of the leadership vision and priorities.

Note: This role closely coordinates with the Engagement and Internal Communications function, which focuses on culture, engagement initiatives, and broader employee experience programs.

Key Challenges

  • Balancing two distinct but equally important areas of responsibility: executive support and leadership communications.
  • Rapidly grasping the CEO’s priorities, including unstated ones, and translating them into actionable messages.
  • Operating effectively in an international, fast‑paced, and sometimes unpredictable environment.
  • Finding the right balance among availability, time protection, and anticipation.
  • Maintaining autonomy and proactivity while avoiding over‑escalation.
  • Building smooth working relationships with highly exposed executives and switching seamlessly between support and communication tasks.
  • Translating complex strategic discussions into clear, engaging narratives across all levels of the organization.
  • Continuously leveraging AI and automation to increase impact and proactivity.

Ideal Profile

  • 5+ years of experience supporting executives in demanding, fast‑paced environments.
  • Strong background in communications or strategic project management.
  • Proven experience crafting executive‑level content (newsletters, presentations, all‑hands materials).
  • Experience organizing high‑impact strategic offsites or leadership events.
  • Foundational knowledge of startup / scale‑up tech environments.
  • Exceptional writing, storytelling, and emotional intelligence.
  • Calm under pressure, discreet, and highly reliable with a sunny disposition.
  • Comfortable working across multiple time zones and fluent in English and French (bilingual).
  • Comfortable adopting new tools and technologies, especially AI agents and automation.
  • Excellent command of Google Workspace, Slack, and Notion.
