Overview

Reserved for executive assistants supporting senior executives in the C or D band who are direct reports to a Regional President or to a senior executive in the B band. Provides wide-ranging support, relieving the executive of complex administrative duties, managing an email inbox and systems, and serving as a liaison with internal and external stakeholders on purchasing, personnel, facilities, and operations matters.

Responsibilities

  • Provides administrative support to the area executive, exercising judgment and initiative.
  • Administers programs, projects, campaigns, or processes for the operating unit served.
  • Coordinates the manager’s schedule, makes appointments, and arranges travel.
  • Answers, screens, and directs incoming calls, delegating to subordinates when appropriate.
  • Assists in preparing administrative reports, performs sensitive information gathering, and distributes reports to appropriate audience.
  • Greets internal and external customers, answering complex questions.
  • Sorts and distributes incoming mail, prepares outgoing mail, and responds to non‑executive material.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities.
  • Liaises with key executives, external management, and other important contacts to transmit information and obtain data.
  • Creates written correspondence and reports from rough drafts, editing for grammar, punctuation, or spelling.
  • Organizes and maintains confidential file systems and records.
  • Acts as a liaison to others outside the department related to administrative requests.
  • Performs other administrative duties as assigned.

Qualifications

  • High school education; ability to read, write, type, edit, and proof general business correspondence.
  • Five or more years of secretarial/administrative experience, with at least three years with the company preferred.
  • Accurate and efficient dictation recording and typing, with a normal range of business vocabulary.
  • Proficiency with Microsoft Office products such as Word and Excel.
  • High level of confidentiality and professionalism.
  • Ability to multitask, handling multiple tasks and projects simultaneously.
  • Strong interpersonal skills for building relationships across the organization.
  • Problem‑solving skills for handling moderately complex issues.

Salary and Benefits

Base salary is within the range for this pay grade across the U.S.; individual salaries vary by role, skills, experience, education, and location. The role is eligible for an incentive compensation plan based on company and individual performance.
