Executive Assistant
Biotech Open Platform is a CDMO/CMO specializing in precision fermentation. We support biotech companies in transitioning from laboratory to pilot and pre-industrial scale, securing key stages of scale-up and industrialization.
As we expand, we are looking for an Executive Assistant to the CEO to play a central role in the organization and coordination of the executive team.
Reporting to the CEO, you will support the executive team broadly, playing a key role in ensuring smooth daily operations, coordinating cross-functional topics, and tracking priorities.
3. Responsibilities
Your responsibilities include:
- managing the schedules, meetings, and priorities of the CEO and certain members of the management team;
- preparing files, presentations, notes, and meeting minutes;
- coordinating with internal and external company contacts;
- order tracking, coordination with certain suppliers, and support on routine administrative and accounting matters (invoices, tracking elements, liaison with relevant contacts);
- monitoring certain cross-functional topics and ensuring the proper execution of decided actions.
4. Skills required
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) – advanced level required
- Excellent command of business correspondence and formal document drafting (French and English)
- Experience with agenda/calendar management tools and meeting organization (in-person and remote)
- Familiarity with travel booking platforms and expense reporting procedures
- Basic knowledge of administrative and procurement processes (purchase orders, supplier follow-up)
- Ability to prepare and format professional presentations and reports
- Notions of document management/filing systems (physical and digital archiving)

- Strong organizational skills with the ability to manage multiple priorities and tight deadlines simultaneously
- Excellent interpersonal and communication skills, with the ability to interact professionally with all levels of the organization (executives, staff, external partners)

5. Profile wanted
Formation
- BTS/DUT in Management Assistant, Executive Assistant, or Business Administration (Bac+2), or equivalent qualification (Bachelor's degree an asset)
We are looking for a highly organized, reliable, and responsive individual with an excellent sense of priority, who demonstrates great discretion and can thrive in a demanding, fast-paced environment.
You have previous experience in executive assistance, office management, or coordination, supporting a leader or an executive team. You are skilled at advancing initiatives discreetly, rigorously, and efficiently, while maintaining excellent relationships with various stakeholders.
- Minimum 3 to 5 years of experience in a similar position, ideally within an industrial, pharmaceutical, biotech, or manufacturing environment
- Experience supporting senior management (Director, VP, or C-level) strongly preferred
- Prior exposure to a regulated environment (ISO, GMP, quality systems) is a plus
Languages
Excellent written and spoken French and English are essential.
