What You Will Do
- Proactively manage and prioritize complex, ever-changing executive calendars for 2 leaders, including arranging and coordinating high-stakes meetings with both internal and external stakeholders.
- Ensure seamless scheduling for executives who work with demanding clients, requiring a high sense of service and flexibility.
- Anticipate, identify, and resolve scheduling conflicts with diplomacy and efficiency.
- Organize and coordinate internal events, collaborating with multiple departments.
- Manage expense reports, travel bookings, and invoice tracking, working closely with the finance team to ensure smooth payflow and timely approvals.
- Support travel arrangements and proactively challenge travel plans for cost-efficiency and compliance.
- Prepare, review, and proofread a variety of documents with attention to detail and confidentiality.
- Act as a point of contact for day-to-day requests from two large, dynamic teams and ensure effective communication across functions.
- Contribute to EA’s team development by sharing best practices, bringing fresh perspectives, and participating in initiatives.
- Understand each department’s challenges and goals, taking true ownership of your scope rather than simply executing tasks.
What We Are Looking For
- 5+ years’ experience as an Executive Assistant, ideally supporting multiple executives in a fast-growing tech or consulting environment.
- Proven ability to manage highly complex calendars, prioritize conflicting demands, and remain flexible in rapidly changing environments.
- Outstanding communication skills in both French and English (written and spoken).
- Discretion, rigor, and a strong sense of confidentiality.
- Ability to adapt to working styles of very different leaders and large, multifaceted teams.
- Experience collaborating with finance on expense management and invoice follow-up.
- Excellent organizational skills, attention to detail, and a proactive approach to problem-solving.
- Team spirit, and enthusiasm for sharing knowledge and learning from others.
