About the Role
We are looking for an Event Operations & Ticketing Coordinator to support the delivery of RAISE Summit and Machina Summit .
This role is central to ensuring a smooth and high-quality participant experience , from ticket purchase to on-site access.
You will work closely with our all teams to manage ticketing systems, participant data, and on-site registration.
This is a hands‑on role for someone highly organized, detail‑oriented, and comfortable working in a fast‑paced event environment.
This is a freelance or fixed‑term contract (CDD) mission, running from late May to mid‑July 2026 .
Key Responsibilities
1. Ticketing & Registration Management
- Support the setup and management of the ticketing system (creation of ticket types, categories, pricing, access levels)
- Ensure all ticket flows are properly configured and tested
- Monitor registrations and ensure data accuracy and consistency
- Manage participant databases and ensure proper segmentation (VIPs, speakers, partners, attendees, etc.)
- Ensure all participants receive correct tickets, confirmations, and communications
2. Data & Participant Experience
- Maintain clean and structured participant data across systems
- Coordinate with marketing and customer success to ensure proper communication flows (emails, confirmations, reminders)
- Support issue resolution related to tickets, registrations, and access
- Help improve the overall attendee journey from registration to event access
3. Event App & External Tools Coordination
- Support the development and setup of the event mobile app with external vendors
- Ensure all participant data, agendas, and access information are correctly integrated
- Test and validate features before launch (profiles, networking, schedules, etc.)
4. Cross‑Team Coordination
- Work closely with Sales, Operations, and Customer Success to ensure all ticketing requirements are aligned
- Support partners and sponsors regarding ticket allocations and access
- Ensure all ticketing‑related elements are aligned with the global event planning timeline
5. On‑Site Operations (Key Part of the Role)
- Manage on‑site registration and check‑in operations
- Oversee badge printing and distribution
- Supervise hosts, hostesses and volunteers on registration desks and access control points
- Ensure smooth participant flow and minimise waiting times
- Act as a first point of contact for participant issues and resolve problems in real time
6. Post‑Event Support
- Support reporting on ticketing performance and participant flows
- Help identify areas of improvement for future editions
Profile
Required
- 1–3 years of experience in events, operations, ticketing or similar roles
- Strong organisational skills and attention to detail
- Comfortable working with tools, data and systems
- Ability to handle multiple tasks in a fast‑paced environment
- Strong problem‑solving mindset and reactivity
- Fluent in English (French is a plus)
Ideal
- Experience with ticketing or registration platforms (Swoogo knowledge is a plus)
- Experience in large‑scale events or conferences
- Experience managing on‑site operations or guest experience
- Interest in AI, tech or innovation ecosystems
