Event media and AV Production Coordinator

The ESC is currently looking for a AV Coordinator: Meetings, Events & Congresses for a permanent contract, CDI, as soon as possible to work at its headquarters in Sophia Antipolis, France.

Major duties and responsibilities:

In this role, you will work closely with colleagues, suppliers, and event stakeholders to coordinate and deliver all audiovisual requirements for our meetings, events, and congresses, ensuring seamless technical operations and exceptional on‑site experiences.

As AV Coordinator — specialist in meetings, events, congresses, and studio‑supported media production

you will play a key role in:

• Delivering the audiovisual and media production needs of ESC’s congresses, meetings, and events.
• Coordinating suppliers, planning logistics, evaluating technical requirements, and problem‑solving in real time — bringing innovation and fresh ideas to elevate both the delegate and viewer experience.
• Ensuring flawless AV execution across live, hybrid, and recorded environments, while contributing to the creation of compelling media content.

Key Responsibilities:

• Plan, coordinate, and oversee AV requirements for congresses, meetings, and in‑house events — from small lecture rooms and committee meetings to major auditoriums and TV‑style studio platforms.
• Ensure seamless live and on‑demand production of scientific sessions, symposia, workshops, and other programme formats.
• Manage technical logistics, schedules, equipment setups, and onsite operations in collaboration with internal teams and external suppliers.
• Negotiate and coordinate with AV suppliers and venue technical teams, leading negotiations when necessary.
• Evaluate technical proposals and recommend solutions aligned with event‑specific needs.
• Build and maintain strong working relationships with partners, volunteers, and ESC staff.
• Support live event production through technical direction, operations, and studio‑style setups.
• Contribute to studio and post‑production workflows including video capture, editing, graphics integration, and content preparation.
• Ensure technical and visual consistency, content quality, and timely delivery of media assets.
• Identify and propose new AV and media production solutions to enhance technical reliability and audience experience.
• Anticipate risks and resolve issues creatively and efficiently.
• Stay current with developments in AV, studio production, streaming, and post‑production technologies.

Profile

• Proven experience in AV production and coordination, ideally within live events, congresses, or large‑scale meeting environments.
• Strong understanding of AV systems, equipment, and workflows (audio, video, lighting, streaming, recording).
• Hands‑on experience in media production and post‑production (video editing, content formats, asset management).
• Ability to manage multiple complex projects under tight deadlines.
• Creative problem‑solver able to respond effectively under pressure.
• Strong communication skills in English (French is an asset).
• Willingness to travel internationally for congresses and events.

Contract

• Permanent contract based in Sophia-Antipolis
• French labour law provisions

Conditions

• Fixed salary + 13th month and vacation bonus (1%)
• Possibility of teleworking up to 3 days a week, after two months' integration at ESC + fixed daily allowance
• Employee savings scheme: PERCO
