Event Coordinator / Office Manager
As part of the strengthening of the Marketing team, we are looking for an Event Coordinator / Office Manager to support the Event & Exhibition Project Manager in coordinating events and managing daily office operations. The position involves a direct reporting line to the Event & Exhibition Project Manager, with close day‑to‑day collaboration, as well as the ability to ensure continuity of operations with a high level of autonomy during her absence, with the support of the Head of Marketing. This role sits at the core of the Marketing team and involves close interaction with all internal departments, with the objective of ensuring smooth, professional, and brand‑aligned operations.
Key Responsibilities
- Event Coordination (Internal & External)
- Support the organization of trade shows, conferences, and customer events
- Coordinate logistics (transportation, accommodation, suppliers, planning)
- Ensure operational follow‑up before, during, and after events
- Manage event materials (goodies, equipment, documentation)
- Contribute to post‑event reporting and analysis
- Internal Events Organization
- Organize customer and partner visits
- Support Business Reviews, quarterly meetings, board meetings, and internal events
- Coordinate suppliers (catering, logistics, audiovisual)
- Office Management
- Ensure smooth daily office operations (Cassis)
- Coordinate with internal teams (IT, maintenance, marketing)
- Manage service providers (cleaning, supplies, general services)
- Contribute to improving the workplace environment
- Administrative Support & Coordination
- Manage suppliers and purchasing (equipment, furniture, business cards, etc.)
- Follow up on internal requests related to events and office operations
- Contribute to process structuring and continuous improvement
Experience & Skills
- Bachelor’s or Master’s degree in Events, Marketing, Communication, or equivalent
- First experience in event coordination or office management (internship, apprenticeship)
- Strong organizational and logistical skills
- Ability to manage multiple projects simultaneously
- Proficiency in Microsoft Office
- Knowledge of tools such as HubSpot, SurveyMonkey, Popl, or Monday is a plus
- Professional level of English required
- Willingness to travel occasionally
