Role Overview

Poste ouvert en CDIC, basé 5 jours/7 à Lucciana (Corse) L’opportunité Le/La Coordinateur(trice) Administratif(ve) de Chantier assiste le/la gestionnaire de site ainsi que l’ensemble de l’équipe chantier dans toutes les tâches administratives. Il/Elle contribue à maintenir un bureau de chantier structuré et organisé, applique les processus opérationnels et projets approuvés, et permet ainsi aux équipes techniques de se concentrer sur leur cœur de métier. Le/La Coordinateur(trice) de Chantier garde une vision d’ensemble des processus et ressources du site, identifie les activités à faible valeur ajoutée et optimise les opérations dans son périmètre de responsabilité. Il/Elle rapporte hiérarchiquement au Site Manager du projet auquel il/elle est affecté(e), et fonctionnellement au Responsable du Support de Chantier C&C. Ce rôle peut être combiné, selon la charge de travail, avec celui de Document Controller de Site et/ou de Coordinateur Logistique de Site.

Votre impact Recueillir, organiser et administrer les rapports d’avancement. Contribuer à la création de présentations (avancement, site, projet, gestion). Participer aux réunions, rédiger et diffuser les comptes rendus, assurer le suivi des actions. Réaliser ou coordonner l’intégration de chantier, et accompagner les nouveaux/nouvelles employé(e)s. Suivre les feuilles de temps et les heures de travail du personnel ; tenir un historique (tableaux, graphiques) et le partager avec les départements concernés. Maintenir un registre actualisé du personnel Hitachi présent sur site. Apporter un soutien à l’équipe site pour tout besoin de reporting. Mettre en œuvre les processus opérationnels et participer à l’amélioration continue. Identifier et éliminer les activités sans valeur ajoutée. Tenir à jour les registres, bases de données, systèmes de classement et archives (papier et électronique). Effectuer diverses tâches administratives générales et assurer un remplacement en cas d’absence ou de surcharge de travail. Organiser ou coordonner la traduction de documents. Suivre la situation des livraisons. Gérer les envois et réceptions de colis. Administrer les logements, véhicules de site et le transport local. Administrer les bureaux et installations du site. Présenter aux nouveaux/nouvelles arrivant(e)s les processus administratifs et routines du chantier. Entretenir des contacts réguliers (selon autorisation) avec les fournisseurs et sous‑traitants locaux (ménage, sécurité…). Contrôler les fournitures de bureau et la disponibilité des EPI visiteurs. Coordonner l’organisation des déplacements du personnel et des visiteurs avec les services mobilité et les responsables construction/commissioning.

Profile and Qualifications

Votre profil Formation : Bac +2 / Bac +3 en Administration, Assistanat de gestion, Logistique, Gestion de projet, Support QHSE ou Support opérationnel. Expérience: 2 à 5 ans d’expérience dans l’un ou plusieurs des domaines suivants : Administration de chantier Coordination / support projet Gestion du bureau de site Logistique et gestion documentaire Support aux équipes construction / commissioning / engineering Une expérience dans un environnement construction / énergie / EPC / industriel est un atout important. Langues : Français et Anglais, un bon niveau requis (échanges avec équipes internationales, fournisseurs, visiteurs).

Responsibilities

  • Collect, organize, and administrate progress reports.
  • Support the creation of progress, site, project, and management presentations.
  • Attend meetings; take and distribute minutes, and track the progress of assigned action items.
  • Perform or coordinate site onboarding and provide guidance to new employees arriving to work on the construction site.
  • Track site personnel timesheets and working hours; maintain historical records using tables and charts and share with the relevant business departments.
  • Maintain an up-to-date record of Hitachi personnel present on site.
  • Support the site team with various reporting needs as required.
  • Implement business processes and collaborate with team members in the continuous improvement of processes and procedures to maximize efficiency and effectiveness.
  • Identify and eliminate waste or non–value‑added activities within the area of responsibility.
  • Maintain records, databases, filing systems, and archives in both electronic and hard‑copy formats.
  • Perform general administrative duties and provide backup support for colleagues in case of sickness, absence, or workload peaks.
  • Coordinate or arrange document translation when needed.
  • Maintain an updated record of delivery status.
  • Send and receive packages and parcels.
  • Manage living quarters.
  • Manage site vehicles and local transportation.
  • Manage site offices and facilities.
  • Introduce personnel to administrative processes and site routines.
  • Maintain regular, authorized contact with local suppliers and contractors, including housekeeping and security services.
  • Control office supplies and ensure availability of visitors’ Personal Protective Equipment (PPE).
  • Coordinate travel arrangements for site personnel and visitors in collaboration with home‑office Business Mobility Coordinators, Travel Coordinators, and Project Construction and Commissioning Managers.

Qualifications

  • Education; Bac +2 / Bac +3 (equivalent to Associate’s or Bachelor’s level) in Administration, Office Management, Logistics, Project Management, QHSE Support, or Operational Support.
  • Experience: 2 to 5 years of experience in one or more of the following areas: Construction site administration, Project coordination / project support, Site office management, Logistics and document control, Support to construction / commissioning / engineering teams.
  • Languages: French and English: Good working level required (interactions with international teams, suppliers, visitors).
