Position Overview
The University of New England's School of Marine and Environmental Programs (SMEP) in the College of Arts and Sciences seeks a detail‑oriented and motivated Administrative Coordinator to provide advanced administrative support for SMEP’s daily operations. The Coordinator will work closely with faculty, professional staff, and students, as well as colleagues across campus, handling a wide variety of administrative functions, including confidential and sensitive matters.
Responsibilities
- Handle complex and confidential situations and requests.
- Independently coordinate multiple administrative tasks and projects within prescribed guidelines.
- Assist in departmental budget planning; monitor expenditures and process budget documents.
- Diagnose and troubleshoot office administration problems and inquiries related to the department.
- Answer and transfer phone calls; screen callers when necessary.
- Welcome and direct visitors and students.
- Maintain filing systems as assigned.
- Retrieve information from records, email, minutes, and related documents; prepare written summaries when needed.
- Respond to and resolve administrative inquiries and questions.
- Coordinate and schedule travel, meetings, and appointments for managers or supervisors.
- Prepare agendas and schedules for meetings.
- Record and distribute minutes or other records for meetings.
- Maintain office supplies and coordinate maintenance of office equipment.
- Maintain a system for recording expenses and the use of petty cash.
- Perform other related duties as assigned.
Qualifications
- Associate’s degree plus 2–3 years of relevant administrative experience, or a comparable combination of education and experience.
- Excellent interpersonal communication skills with the ability to interact with a diverse group of co‑workers, staff, and students.
- Intermediate experience with Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Ability to multitask.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
