Overview

The U.S. Consulate General in Marseille is seeking a dynamic and organized Administrative Clerk to support our Overseas Buildings Operations (OBO) team. This position is open to all interested applicants and sources. The role involves supporting construction management and administrative operations, coordinating with various embassy offices, and ensuring smooth administrative processes.

Responsibilities

What You Will Do

Support Daily Operations (45%)

  • Serve as the first point of contact for telephone and email inquiries
  • Coordinate administrative functions across Embassy/Consulate offices
  • Manage office supplies, equipment maintenance, and repairs
  • Support day‑to‑day logistics and operations

Administrative Excellence (35%)

  • Manage correspondence flow (letters, technical submittals, shop drawings)
  • Draft memos and correspondence for internal and external stakeholders
  • Maintain organized electronic and physical filing systems
  • Translate host country documents related to employment, shipping, housing, and building codes
  • Handle financial procedures including purchasing, payroll, and contract payments

Additional Support (20%)

  • Assist temporary duty (TDY) personnel with country clearance, accommodations, and logistics
  • Support contractors with Value Added Tax (VAT) waivers and customs clearance
  • Coordinate housing requirements for OBO staff

All selected candidates must obtain and hold a security certificate or Public Trust (Non‑Sensitive‑Low‑Risk) security clearance. Candidates will be subject to a background investigation and may be required to undergo a pre‑employment medical exam. Selected candidates must be able to begin working within 12 weeks of receiving agency authorization and/or clearances.

Qualifications

Experience

  • Without substitution (grade 6): Completion of secondary school plus a minimum of two (2) years of clerical/administrative/customer service experience in an office setting.
  • With substitution (grade 6): Middle School plus a minimum of six (6) years of clerical/administrative/customer service experience in an office setting.
  • Training Level (grade 5): Middle School plus a minimum of five (5) years of clerical/administrative/customer service experience in an office setting.

Languages

  • English – Good working knowledge (speaking, reading & writing)
  • French – Good working knowledge (speaking, reading & writing)

Job Knowledge

  • Knowledge of office management functions, services, procedures, and standard information sources.
  • Knowledge of host‑nation employment and VAT requirements.

Skills and Abilities

  • Ability to deal effectively with customers and organize own work to meet established deadlines.
  • Good customer service orientation and interpersonal skills.
  • Proficiency in using a computer for data entry, spreadsheets, word processing, and email.

Meal tickets have a face value of EUR 8.25 per day (60% paid by the U.S. Government; employee contributes EUR 3.30). Transportation reimbursement: 50% of public transportation pass costs. Holidays: Eleven U.S. holidays per year and up to ten French holidays. Additional benefits such as salary allowance, profit‑sharing, vacation allowance, and bonus allowance are included in the annual gross salary.

Employment Considerations

Eligibility for hiring preference and additional employment considerations apply only to Eligible Family Members (EFM), US Eligible Family Members (USEFM), and Authorized Expatriate Staff (AEFM) as defined by the U.S. Consulate. Candidates must attach required documents such as diplomas, driver's license (if applicable), and proof of eligibility to work in France. Incomplete applications will not be considered.
