Summary: The U.S. Mission in Paris, France is seeking eligible and qualified applicants for the Administrative Assistant in the Air Traffic Control (ATC) Liaison Office.

Occasional TDY (Temporary Duty Assignment)

Administrative Assistant – Air Traffic Control (ATC)

Serve as a vital link in aviation operations by coordinating daily administrative functions that keep air traffic control liaison operations running smoothly and efficiently.

Provide translation and interpretation support, accurately translating operational documents, correspondence, and communications between English and (target language) to ensure clarity and compliance across multilingual teams and stakeholders.

Manage and maintain critical documentation, including operational logs, personnel records, and regulatory compliance files, ensuring accuracy and accessibility for mission-critical decision-making.

Coordinate scheduling and logistics for personnel, visits, and office operations, directly supporting US air traffic control liaison activities in France.

Facilitate seamless communication between air traffic controllers, supervisors, technical staff, and external stakeholders—including non-English-speaking personnel or visitors—acting as a key point of contact in a fast-paced, high-stakes environment.

Prepare and process correspondence, reports, and briefing materials, translating as needed, to support leadership in maintaining the highest standards of aviation safety and operational readiness.

Manage procurement and inventory of office and operational supplies, ensuring the office is always equipped to support air traffic liaison operations.

Support budget tracking and administrative reporting, contributing to the fiscal responsibility and operational transparency of the liaison office.

Assist with onboarding and training coordination for new personnel, including translating training materials when necessary to support a diverse, mission-ready workforce.

Uphold confidentiality and professionalism while handling operational, personnel, and translated information critical to ATC liaison office responsibilities.

All selected candidates must be able to obtain and hold a: Public Trust/Non-Sensitive-Low Risk security clearance.

All selected candidates will be subject to a background investigation and may be subject to a pre-employment medical exam. Selected candidate must be able to begin working within a reasonable period of time (12 weeks) upon receipt of agency authorization and/or clearances/certifications or their candidacy may end.

Qualifications

Experience:

  • Full performance (grade 7): A minimum of three (3) years experience in general office management, administrative or secretarial positions is required.
  • Training Level (grade 6) : A minimum of two (2) years of experience in general office management, administrative or secretarial positions is required.

Employees hired at a training grade must complete 52 weeks of successful performance at the training grade to be eligible for the next grade, regardless of the experience level at entry on duty.

Benefits and Compensation

  • SALARY: the annual gross salary includes: the profit-sharing allowance, the vacation allowance, the bonus allowance and the “Comité d’Entreprise” allowance.
  • MEAL TICKETS: Meal tickets have a face value of EUR 8.25/day. 60% of the daily amount is paid by the U.S. Government. An employee contribution of EUR 3.30 per ticket will be deducted in payroll. The number of meal tickets is limited to 202 workdays per year.
  • TRANSPORTATION: Employees are eligible for a reimbursement of 50% of the cost of public transportation passes purchased for commuting purposes.
  • HOLIDAYS: The U.S. Missions in France observe eleven U.S. holidays per year and up to ten French holidays.

A “certification” is any written document from the armed forces that certifies the service member is expected to be discharged or released from active duty service in the armed forces under honorable conditions within 120 days after the certification is submitted by the applicant. Additional Employment Considerations

  • Current employees who used a hiring preference to gain employment who are within their first 90 calendar days of employment are not eligible. This does not apply when the hiring mechanism is TEMP or the work schedule is intermittent or irregular.
  • Candidates with a hiring preference who have already accepted a conditional offer of employment may NOT be extended a second conditional offer of employment unless and until they withdraw their candidacy for the first position in writing.
