Overview

The U.S. Mission in France seeks a qualified internal candidate for the Administrative Assistant (Administrative Support Supervisor) position within the Switchboard Section.

Responsibilities

  • Team Management – Supervise seven staff across two functional areas (call center operations and the administrative support program) under the supervision of the Diplomatic Technology Infrastructure Deputy Chief.
  • Call Center Operations – Lead front‑line operations of the Mission France Call Center, serving as the primary escalation point for internal and external customers across all communication channels (telephone, email, live chat, self‑service forms, and in‑person interactions). Prioritize and answer all incoming calls that are not fully routed by the auto attendant, ensuring timely and professional responses.
  • Administrative Support – Supervise eight administrative clerks providing entry‑level clerical support to principal officers and sections. The incumbent may also serve as an alternate operator, covering staffing gaps, ad‑hoc projects, and temporary workload increases on a full‑time, part‑time, or intermittent basis.
  • Coordination & Planning – Manage team schedules, shifts, assignments, and daily operations. While Human Resources provides functional guidance on staff assignments, training, and best practices, day‑to‑day operational management remains the incumbent’s responsibility. Identify alternate resources when staff are unavailable and coordinate with Human Resources to meet program requirements. Participate in management initiatives as assigned.

Qualifications

  • Education Requirements – Completion of Secondary School (high school diploma) is required. Substitution for education with experience (Paris- S) is available: Primary school plus a minimum of eight (8) years of experience in call center or office administration for non‑supervisory applicants; a minimum of one (1) year of experience managing a team in a call center or similar reception environment for supervisory applicants.
  • Experience –• Non‑supervisory: Minimum one (1) year of experience in call center or office administration.• Supervisory: Minimum one (1) year of experience managing a team in a call center or similar reception environment, with demonstrated use of computers and call center operations.
  • Language Proficiency – English: Good working knowledge (speaking, reading, writing, and ability to translate). French: Good working knowledge (speaking, reading, writing, and ability to translate).
  • Job Knowledge – Good knowledge of office management tools such as Microsoft Office (Outlook, Word, Excel, PowerPoint, and SharePoint) and basic computer literacy (typing, internet searches).
  • Skills and Abilities – Ability to manage a team and maintain schedules to meet operational priorities; courtesy, tact, and discretion while providing high‑standard telephone services; self‑control during crises or difficult interactions; proficiency in typing and keyboard navigation; professional judgment to make decisions; strong written and spoken communication skills; positive team collaboration; prompt and professional call answering; ability to lift up to 51 lbs (23 kg) when assigned to the mailroom.
  • All selected candidates must obtain and hold a Public Trust (Low Risk‑Non‑Sensitive) security clearance and may be subject to a pre‑employment medical exam.
  • Candidates must be able to begin work within 12 weeks of agency authorization.

Benefits

  • Salary – Annual gross salary includes profit‑sharing allowance, vacation allowance, bonus allowance, and the “Comité d’Entreprise” allowance.
  • Meal Tickets – Face value of €8.25/day; 60% paid by U.S. Government; employee contributes €3.30 per ticket; limited to 202 workdays per year.
  • Transportation – 50% reimbursement for public transportation passes.
