Administration Assistant
SLR has an exciting opportunity for an experienced Administrator to join its busy office in Grenoble, providing support to a busy team of Environmental and Advisory experts across all aspects of the business.
What You Will Do
This role is primarily responsible for the management and provision of efficient administrative and organisational support to the Operations Centre (OC).
People
- Supports temporary and new staff, orienting them to the practical and business matters (computer access, file conventions, etc.) of the Operations Centre
- Builds positive working relationships with OC staff and other departments within SLR including Finance, People Team, IT and European Management
Document Preparation and Management
- Reports, proposals, specifications, internal memos, and notes
- External letters and DHL to clients and contractors
- Spreadsheets
- Presentations
Operations Centre Administration
- Organises meetings for staff including catering
- Orders IT equipment as required by staff
- Organises and supports internal staff and client events
- Organises and oversees the ordering of stationery/supplies for the department
- Assists with the preparation of client presentations
Book travel arrangements
- Compile and submit travel expense claims often on behalf of colleagues
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc, often on behalf of colleagues
- Organises and supports employee relocations & commencements
- Organises, tracks and reports on staff completion of training courses
- Builds and shares knowledge of SLR internal systems and procedures
- Adopts a continuous improvement approach to ensure the establishment and maintenance of efficient and up-to-date administration systems and processes
- Other general office duties as requested by the OCM
Financial Administration
- Assists project managers with workbook completion
- Manages and oversees the invoicing and debt collection process for the OPC
- Tracks expenditure against internal budgets for OPCOrganises and undertakes transfers of time and expenses as required
SLR Client/Project Support
- Assists with CRM updates for client contacts and prospects
- Invoice preparation in support of Project Managers
- Supports Project Managers in debt collection
- Other reporting and document creation as requested by Project Managers

About You
- Degree in Secretarial studies
- At least two years’ experience in a similar role.
- Strong Microsoft Office Suite skills (Word, Excel, PowerPoint)
- Fluent in written and spoken English.
- Comfortable handling confidential information
- Multi-tasking and time-management skills, with the ability to prioritize tasks
